A twelve-person programme and a sixty-person programme in Indonesia are not the same product at different scales — they are different operations. Above roughly twenty passengers the constraints shift from what the clients want to what the infrastructure will physically absorb, and quoting the larger group on the smaller group's assumptions is how margin disappears.
Vehicles and the Road
Small groups travel in minibuses that go anywhere. Large groups travel in coaches, and coaches cannot reach a good deal of Bali — Ubud's lanes, many temple approaches and most rice-terrace access roads are simply too narrow. The answer is either a shuttle leg in smaller vehicles or a redesigned itinerary, and both need pricing in from the start rather than discovering on the day.
Convoy discipline matters too. Two coaches leaving fifteen minutes apart arrive at a single-lane temple car park as one problem.
Meals Are the Real Bottleneck
Most of the restaurants an agent would choose for a couple cannot seat forty at once, and the ones that can are a different category of venue. Serious group operation means pre-arranged menus, pre-notified dietary requirements and a restaurant that has held the space — not a walk-in. Set meals served promptly beat an à la carte experience that takes two hours and eats the afternoon.
Hotels, Blocks and Rooming Lists
Group blocks need contracting early, particularly in July, August and over the year-end. What causes the trouble is rarely the block itself but the rooming list: late name changes, twin-versus-double confusion and a triple that the hotel counts as a family room. Sites at Scale
Entry logistics change with numbers. Temples require sarongs for everyone, which means carrying them rather than queuing at the counter. Borobudur's sunrise access is capped, so a large group either splits or goes at normal opening. Volcano jeeps at Bromo hold four passengers each, so a forty-person group is ten vehicles that must be sequenced or the viewpoint arrival spreads over an hour.

On accompanied groups the tour leader is the client's point of contact and our operational partner. The programmes that run smoothly are the ones where the leader gets the full day plan, the driver and guide contacts and the escalation number before departure — and where our coordinator briefs them each evening for the following day rather than leaving them to discover changes with the group.
